Reimbursement Reminders

  • All receipts should be turned in to the Department of History Senior Administrative Assistant as soon as possible after the trip. Please check your award letter for specific due dates.
  • Please read your award letter for any additional stipulations with the awards. Many times CAS awards will not cover food purchases, however the History Department awards will.
  • Please note that if your CAS award letter asks for a submission of a report after your trip, this should be sent directly to UJ Sofia (sofia@american.edu). Receipts will still be submitted to the Department of History Senior Administrative Assistant.
  • All food receipts must be itemized and alcohol purchases cannot be reimbursed.
  • All receipts (esp. hotel, flight, train) must have credit card information on the receipt (ex. VISA xxxx). If the receipt does not show this information, you must include a credit card statement showing the purchase.
  • Please save boarding passes as proof of trip. If you do not have boarding passes, please include a copy of a receipt from that location or a credit card statement showing a purchase in the location.
  • Please include a conference brochure showing your participation or something from the research location confirming your research trip (ex. entrance receipt).
  • If receipts are in another language besides English, please make sure to clarify what the receipt is for and ensure that the date of purchase and amount is clearly visible and easy to understand.
  • If needed, flights or major transportation expenses (ex. Amtrak) may be reimbursed before the trip, however, other trip expenses must wait until afterwards.
  • If your trip will be under 50 miles from AU and your home address, you cannot claim all of the normal travel expenses. You can, however, claim a travel rate for gas expense. Please contact the Senior Administrative Assistant if this will be the case.
