DVD-Camcorder Policies   Fall 2007
download Word doc version

Due to a set of unfortunate circumstances, we are not currently able to provide VHS camcorders for video recording.   The digital replacement we have chosen is the DVD Camcorder.   This camera uses Mini-DVDs (80mm DVD-R and are available at many retail locations (CVS, Best Buy, etc.) Camcorders are NOT compatible with DVD+R or DVD=RW discs.) which can record up to 60 minutes per disc . These devices are for classroom and event use only.   They are not available for student projects.

Please inform users that they must plan ahead for the extra time required to format the discs before use (about 1 minute per disc) and to finalize discs after use (variable times, actually taking longer the less video is on the disc).   Discs may be formatted well ahead of time and used later, but must be used on the same model camera.   Also, discs need not be finalized immediately upon completion of recording, but must be finalized before use in a regular DVD player, again on the same model of camera.

Because their small size and portability present such an extreme theft temptation, we have been forced to change our policies regarding delivery.

Customers may choose one of two options:

•  They may pick up and return the camcorder and tripod to us.   They will then follow the DVD-Camcorder Loan Procedures.   Extremely heavy users may borrow the cameras for the entire semester if available.

•  We will deliver and pick up the equipment at the site.   However, the customer must agree to meet our technician at a specified time and stay with the equipment at the end of the class or event until a technician has returned at the specified time to retrieve it.   If the end time changes, customers are responsible for notifying AV so that we may arrange to meet them in order to secure the equipment.   Customers should be informed that we will not leave a camcorder unattended and will leave with the equipment when there is no one available to receive it.   We may be able to re-deliver the equipment at a later time but only if it is possible within our work schedule.

Because these are new devices, most customers will require a training session.   Ideally, these sessions will take place at the AV offices so as not to take up class time.   Instructors may wish to assign a student or TA to learn how to operate the cameras.   However, the instructor will still be responsible for the safety of the camera and tripod.   Training sessions should cover, at minimum, formatting the disc, recording and playing back on the camera, finalizing the disc, setting up the tripod and attaching the camera, attaching the AC cable or battery to the camera.   Customers must be made aware that they are responsible for purchasing mini-DVD discs for their own use.
