General Audio Visual Services

General Classroom, Meeting, and Event Support:

Audio Visual can provide equipment and technical assistance for classes, meetings, and events in most classrooms and event spaces on campus (see Exceptions). Basic projection equipment is built into many locations and is supplemented by portable equipment for particular requirements or where necessary. General services include the following:

Computer and video projection or display:

Audio Visual provides projectors, screens, DVD playback, and program audio in most indoor areas. Some smaller rooms may use flat panel video displays rather than projectors. Most rooms have both VGA and HDMI computer inputs, but please let us know which you will need in your particular space.  Due to the low power of their video outputs, portable devices (iPads and other tablets) may not work in all locations.  Please contact AV in advance to arrange a test.

Transparency projectors:

Most classrooms on campus do not have assigned transparency (“overhead”) projectors. These projectors are mobile and infrequently used, so please contact AV if you would like to use one so that we can make sure that there is one in the room and that it is in good working order.

Voice Amplification:

Microphones are available in a number of spaces on campus where there are built-in sound systems or where audiences of more than 50 are expected.  With the exception of large auditoriums or advanced technology classrooms, voice amplification is NOT generally available in classrooms except in cases of illness or special need.

Classroom and Event Recording:

Audio Visual can provide digital audio or video recording equipment for a class, meeting, or event. AV can provide the end recording in a variety of formats, so please consult with us as to which format will best serve your end purpose. Note: In most cases, AV staff members are unable to stay to operate recording equipment and AV does not provide video editing and post-production services. If you require a videographer or editing services, please contact Academic Multimedia Services (AMS).


Support for Outdoor Events:

  1. Sound: AV provides amplification for outdoor events.  However, the person or group making the request is responsible for some mandatory additional arrangements: Any outdoor request for amplification MUST be approved in advance by University Center – without sound approval, AV will be unable to provide equipment. In addition, arrangements must be made with University Facilities (x.2-FIX or x.2349) to provide power for any equipment. AV does not provide battery-powered equipment
  2. Video: AV does not provide video support for outdoor events since our video display equipment is not advanced enough for those purposes. Ambient light on campus, day or night, renders our equipment useless for outdoor use. AV recommends that anyone planning an outdoor video event rent equipment from an appropriate vendor. Past groups have used local companies such as All in One Entertainment
  3. Inclement Weather: AV will not provide outdoor equipment in inclement weather. If possible, arrange an indoor rain site and make arrangements with AV to support your event there.


Web Video and Audio Equipment:

AV can provide webcams and USB microphones for use with web based conferencing (eg. Skype, GoToMeeting, etc.) or lecture capture (eg. Kaltura) applications.  Users must make sure that they have downloaded the applicable software and set up their personal accounts and sessions in advance and must provide their own laptops.

Training and Assistance:

Audio Visual provides training to Faculty, Staff, and Students, on the operation of Audio-Visual equipment. The most common form of this is instruction on the setup and operation of installed classroom equipment. If you need classroom training, a technician can meet you at the start of your class, or at a time when the room is open. Assistance can also be arranged for class session that may involve atypical equipment or user needs (for instance, student presentations using their own laptops.) Assistance and training can also be provided in our office. Please, as always, provide at least 24 hours notice for main campus and 48 hours notice for the Spring Valley Building to ensure a staff member capable of assisting you is available.

Emergency Assistance:

If you are experiencing difficulties during a class or event, please contact Audio Visual by phone (202-885-2296). A technician will attempt to assist you over the phone or will be dispatched to your location within a few minutes. For non-emergencies, please report any equipment difficulties using our online form or by phone.

Portable Equipment:

In addition to our built-in equipment, AV may deliver and set up a variety of equipment in support of classes and events, including

  • Computer/video projectors (indoor use only)
  • DVD/VHS players
  • PAL/Region Free DVD players
  • Blu-Ray players
  • Sound for computers or portable devices (iPods, etc)
  • Public Address Systems
  • Webcams and USB microphones (can be used with Kaltura)
  • Digital Audio Recorders
  • Digital Video Cameras
  • Document cameras
  • Elmo interactive tablets

Exceptions to Services:

NOTE: The Spring Valley Building may not be able to support all services during the Fall 2016 Semester. Please contact AV at least 48 hours prior to your class and one week prior to events in that building.

AV does not currently provide support in the following locations:

Many units on campus maintain specialized or restricted access spaces for their own use and AV is unable to provide support in those areas as well. Please contact the divisions or units involved for their reservation and use policies.
