Outlook 2016 Windows Manual Setup for IMAP

Setting up Microsoft Outlook 2016 with IMAP on a Windows computer will allow you to send and receive emails for an email account that you own. Follow the steps below to manually setup Outlook 2016 for IMAP.


  1. Start the Microsoft Outlook program.
    1. Open up the Start menu and start Outlook 2016. If you have not used Outlook already, it will prompt you to create a new account. If this occurs, skip ahead to the next step.
    1. If you have used Outlook previously and it does not prompt you, click the FILE tab, and then the ADD ACCOUNT button:

  1. The "Auto Account Setup" window appears.
    1. When this window appears, leave all of the spaces empty and choose the MANUAL SETUP OR ADDITIONAL SERVER TYPES option, and then click NEXT.

  1. The "Choose Service" window appears.
    1. Choose the option for POP or IMAP, and then click NEXT.

  1. The "POP and IMAP Account Settings" windows appears.
    1. This window is where you will enter almost all of your account settings. The window should look like this:

    1. YOUR NAME is the name that you will appear to others as when you send them an email. It should be your real name.
    1. Enter your EMAIL ADDRESS.
    1. For ACCOUNT TYPE, choose IMAP.
    1. If you are faculty or staff, enter as the INCOMING MAIL SERVER. Or, if you are a student and using Gmail, enter
    1. If you are faculty or staff, enter as the OUTGOING MAIL SERVER. Or if you are a student and using Gmail, enter
    1. For USER NAME, enter your email address again.
    1. For the PASSWORD box, enter your myAU or Gmail password.
    1. Make sure that the box for "Require logon using Secure Password Authentication (SPA)" is not checked.

  1. View "More Settings."
    1. This step is required to move forward with the setup. Click the MORE SETTINGS button. A new INTERNET EMAIL SETTINGS window appears.

  1. Choose the "Outgoing Server" tab.
    1. In the OUTGOING SERVER tab, check the option for My outgoing server (SMTP) requires authentication and make sure Use same settings as my incoming mail server is selected.

  1. Choose the "Advanced" tab.
    1. Click the ADVANCED tab, then:
      1. Change both the Use the following type of encrypted connection settings to TLS.
      1. Change the Outgoing server (SMTP) port number from 25 to 587.

  1. Close the "Internet E-mail Settings" window.
    1. Click OK to close the window. The ADD NEW ACCOUNT window will still be visible.

  1. Test the Settings.
    1. Click Next. Outlook should tell you that "all tests completed successfully."
    1. If Outlook tells you a test failed, check to make sure that you entered all of the settings correctly.

  1. Finish the wizard. 
    1. Close the TEST ACCOUNT SETTINGS window if it is still open to continue.
    1. Click FINISH to finish the wizard.
