Update on Unified Messaging Rollout

The roll out of AU’s new voice mail system is progressing well. OIT was the first group to use unified messaging in order to fully test and document the features and functionality.

This new system will receive your incoming messages, including e-mails and faxes, in one shared mail file. Once you start using this system, you will be able to listen to voice mail messages on your telephone or your computer using a headset or speakers. You will also be able to save a voice mail by dragging and dropping it into a folder on your computer.  

  • Once OIT is confident no further fine tuning is necessary, they will install the new system on a biweekly schedule—starting with Brandywine, WCL, and Tenley campuses.
  • Once that is completed as planned, the main campus will begin its migration process (expected to take three to four weeks).
  • The entire university should be migrated by the second quarter of 2010.

OIT is finalizing training and documentation plans to help simplify the transition process for voice mail users during this upgrade. Look for announcements of training events offered for your campus and for demonstrations and previews of unified messaging in action.

Unified messaging answers your incoming calls and recording messages, but with additional features:

  • Voice mail messages will be available by phone or e-mail as they are sent, as an e-mail message with an attachment to open and play.
  • When you call into the system, you will hear how many messages you have in your voice mail and e-mail inbox and can request that the system read them back to you.
  • Deleting a voice mail or e-mail message from your e-mail will delete it from your voice mail, and vice versa.
  • You will receive faxes via e-mail, and need only print those that must be on paper.

If you want to continue using your phone to check voice mail messages, and your computer or BlackBerry to check your e-mail, you can do that.  Commands to manage your new voice mail messages by telephone will be different, but similar to most mobile phone voice mail systems (i.e. seven to delete, nine to save). OIT will distribute a quick reference card.

Once your campus is on the new voice mail system, you need to:

  • Log in and set a new password on the unified messaging system to allow access to both voice and e-mail messages.
  • Record a new outgoing message and recorded name.
