XVI. TRUSTEE RECORDS
All recorded minutes and reports of Board and committee meetings will be treated as private documents and maintained in the custody of the Secretary or Assistant Secretary. These records will not be delivered or transmitted from their custody for archival and/or permanent storage for a period of five (5) years after the close of any university fiscal year, unless otherwise directed by the Board or the Executive Committee. This restriction will not prevent disclosure or distribution of such records in accord with university Bylaws, financial and audit reporting requirements, or the requirements of federal, state, and local laws. On Board authority, the Secretary or Assistant Secretary may provide selected excerpts of Board minutes and certify them as true and correct copies.
