American University Furlough and Pay Reduction Program for Faculty & Staff

As of November 1, 2020, American University is implementing a furlough program which impacts full-time faculty and staff members (hourly and salaried) earning $40,000 or more per year as of June 19, 2020. This includes staff paid through AU’s payroll partner, nextSource.

This is a temporary salary reduction that will occur January – March 2021 and impacts base salary only.

How the program works

Staff and faculty will take 5 furlough days between November 1, 2020 and March 12, 2021. Regardless when the furlough days are taken, paychecks in January, February and March 2021 will be reduced to reflect the 5-day reduction in pay. The reduction amount will be spread equally across each pay period for bi-weekly and monthly paychecks.

How it impacts your pay

The 5 days of furlough represents about 2% of your annual base salary. Your annual base salary does not include overtime pay, shift differentials, overload pay, or stipend payments. Please note that while the salary reduction amount is about 2% of your annual base salary, that amount is compressed into 3 months, so it will be more than 2% of your usual paycheck. To find out what your base pay is, log in to the AU portal:

  • Under the Work@AU drop down at the top, click on Wage Statements
  • Go to your wage statement list, select the most recent wage statement that says “rate change”, and click “view statement”
  • If you are newly hired, go to your wage statement list, select the wage statement that say “at hire”, and click “view statement”
  • If you are paid biweekly, use your hourly rate to calculate your base salary:
    • 28-hour employees: hourly rate x 1456 = base salary
    • 35-hour employees: hourly rate x 1820 = base salary
    • 40-hour employees: hourly rate x 2080 = base salary
  • If you are paid monthly, use your regular earnings this period x 12 to calculate your base salary. Note for faculty on 9, 10, or 11 month contracts, you would multiply by the number of months of your contract.

We have developed the following tables below to estimate the amount your gross salary will be reduced in each pay period in January through March 2021. Each individual situation is different, because of tax withholdings, paycheck deductions, and other factors, so your net pay (how much you actually take home each paycheck) will differ from this amount, and you may actually not have as much reduction as this table shows. This estimator is for illustrative purposes only.

Program timeline

Faculty and staff will take 5 furlough days between November 1, 2020, and March 12, 2021. Reductions in faculty and staff compensation will appear in paychecks (biweekly or monthly) over a three-month period in January through March 2021. The reduction amount will be spread equally across each pay period.

To provide employees with the most flexibility to determine the best time for their furlough days, submit your days off in advance with your supervisor. Supervisors are expected to coordinate and plan the work with your unit so that all employees are able to take their unpaid days and not be called upon to perform work on their scheduled leave, while ensuring coverage for their unit’s responsibilities.

Furlough process

Information for staff

Supervisors will collect each employee’s preferred furlough days, assess overall coverage in the department, and work with individual employees to address any gaps. Staff will submit their preferred days to their supervisor at least two weeks in advance of their requested date, confirm approval, and take the approved days.

Staff will see a newly created leave type for tracking on their time sheets and leave reports to record furlough leave beginning on November 1, 2020. Biweekly employees will have a leave type “FDOB” (“furlough day off biweekly”), and monthly employees will have a leave type “FDOM” (“furlough day off monthly”) in their timesheets.

Information for faculty

Faculty who do not accrue leave hours are entitled to use their unpaid furlough days during the program period. Time should be taken on non-teaching days or when the academic term is not in session and coordinated with faculty department chairs or program directors.

Information for all employees

  • Days may be taken in consecutive or intermittent full-day increments.
  • Days may be taken adjacent to other leave time and holidays.
  • Days will expire on March 12, 2021.
  • Unused days cannot be "paid out" if a staff member leaves the University.
  • Unused days will not impact the temporary payroll reduction.

Staff and faculty will not work in any capacity during their 5 unpaid days off. Departments will ensure coverage of mission-critical work through advanced planning so that there are some people working who may be able to address emergencies while other staff are off. In the event that an emergency requires an employee to work on a scheduled unpaid day, the employee and supervisor will identify a future date to reschedule the unpaid day.

Employees should not be obligated or pressured to work on an unpaid day if there is no emergency. Employees may contact employeerelations@american.edu if they experience pressure to work on an unpaid day.

How it impacts your benefits

  • There are no impacts to payroll deductions or benefit coverage for AU’s medical, dental, disability or life insurance plans.
  • Leave accruals for sick and annual leave will not be impacted.
  • Your contributions to the AU 403(b) plan will decrease because it is based on your set contribution percentage of your temporarily reduced salary in January through March 2021.
  • Faculty or staff members on approved family or medical leave during the period of January through March 2021 will have their pay reduction delayed until they return. 

Is anyone excluded?

Some university employees are excluded from the plan.

  • Full-time faculty and staff with a base salary of $40K or less as of June 19, 2020
  • Part-time faculty (adjunct faculty) and part-time staff
  • Undergraduate student employees
  • Graduate student financial aid awardees
  • Employees hired on or after January 1, 2021
  • Employees who terminate prior to January 1, 2021
  • H-1B visa holders
  • Full-time faculty and staff funded more than 50% from external funding
  • Faculty with one semester appointments (e.g., fall 2020 only or spring 2021 only)
