Summer Employment

Assistant Positions:

Assistant level positions offer guest and client support through direct, in person desk and facilities operations. 

Conference AssistantReports directly to a UCGS Professional Staff member during the summer. CA's are primarily responsible for managing all front desk operations for residence halls, providing superb customer service to all conference groups and individuals visiting during the summer conference season (May to August), and assisting the UCGS staff with conference administration and preparation.

Compensation: $17.95/hr

Overnight Conference Assistant Reports directly to a UCGS Professional Staff member during the summer. OCA’s are primarily responsible for managing all front desk operations for residence halls, providing superb customer service to all conference groups and individuals visiting during the summer conference season (May to August), and assisting the UCGS staff with conference administration and preparation.

Compensation: $18.50/hr

Operations Assistant: Reports directly to the Senior Operations Manager, a UCGS Professional Staff member. The Operations Assistants are responsible for overall support of University Conference & Guest Services (UCGS) operations by ensuring rooms are ready for guests’ arrival, reporting issues in the residence halls, setting up venues, and supporting events. During the summer conference season, the OA's will work in conjunction with the UCGS Pro-staff, Student Leadership Team, and Conference Assistants.

Compensation: $17.95/hr

Student Leadership Positions:

The Student Leadership Team acts in paraprofessional role to assist department professionals in summer operations. All Leadership Positions are compensated at a rate of $19.50/hr.

Conference Lead (5 positions): Assists Conference Managers, Guest Engagement Coordinator, and AD of Business Development in organizing details for their clients’ arrivals, mid-stay needs and departure, onsite coordination, supporting Conference Assistants with frontline customer service and responding after-hours as part of the “on call” structure.

Operations Lead (1 position): Assists the Senior Operations Manager in overseeing the residence hall rooms by communicating with campus partners and Operations Assistants about guest’s arrival and manages maintenance requests by submitting 2fix tickets and tracking facilities’ requests statuses.

Operations & Scheduling Lead (1 position): Assists all department professional staff in the creation of the master schedule of 50+ student staff members, approves timesheets, conduct linen audits, and oversee venues' damages from clients. *This position is supervised by the Senior Operations Manager.

Administrative Support Lead (1 position): Assists all department professional staff in reviewing charged items, creating final bills, sending bills to clients, and maintaining the financial audits. The ASL will oversee the residence hall desk supplies and work in conjunction with the Operations Lead (OL) to maintain, submit 2fix tickets, and track facilities’ requests statuses. *This position is supervised by the Senior Operations Manager.

Due to the full-time nature of this position, you may not hold another on-campus position during UCGS Summer employment from May - August. Those in Leadership roles are not permitted to hold an outside job or internship during summer operations. Knowledge of AU and Washington, DC is preferred.

Date & Time Requirements:

  • Be available to work immediately following May final exams until mid-August unless otherwise modified by the UCGS staff or their designee.
  • Maintain flexible hours to coincide with the summer conference operation that is 24/7 from May - August.
  • Full attendance at mandatory in-person summer training sessions, as well as staff meetings otherwise approved in advance by the UCGS staff team or their designee.
    • SLT Training Dates: 3/28/26, 5/12/26-5/16/26
    • Conference & Overnight Conference Assistant Training Dates: 5/12/26-5/16/26
    • Operations Assistant Training Dates: 5/12/26-5/17/26

Academic Requirements:

  • Must be a matriculated (enrolled) AU student in Summer 2026 or Fall 2026.
  • Applicants must hold a cumulative GPA of 2.00 or higher.
  • Successful review of judicial records.
  • Must be in good standing with the University and comply with all University and UCGS policies.
  • This position is contingent upon the successful completion of a pre-employment background check.

Residence Requirements:

  • Must live in residence halls during summer months. Live-in staff members are expected to be available for all scheduled assignments and projects, and are expected to be accessible in person, by phone, or by e-mail to answer questions, respond to emergency situations, and to perform other administrative tasks and projects as needed.
  • Must have lived at least 1 semester in any university residence halls.
    • *it is not a requirement to have lived in an American University residence hall, any university residence hall meets this requirement.

Compensation/Hourly Pay:

  • CA, OA: $17.95
  • OCA: $18.50
  • All Leadership Positions: $19.50

Job Benefits:

  • Housing in single occupancy is provided by UCGS. Staff are required to live in their assigned on-campus residence space during the duration of employment with UCGS. Staff are required to move into and out of summer residence assignments on designated dates assigned by AU Housing & Residence Life staff.
    • Assistant level positions will be provided housing accommodations located in Centennial Hall.
    • Leadership level positions will be provided housing accommodations located on East Campus.
  • The ability to opt in to a summer meal plan as part of compensation paid for by UCGS. Meals will only be available when residential dining is open/operational. UCGS will designate a deadline for the opt in summer meal plan covered by the department. Once the deadline has passed, UCGS will no longer cover summer meal plans.
    • Housing and dining are considered compensation and may impact financial aid eligibility for students enrolled in summer classes.
  • The ability to opt in for a minifridge/microwave rental as part of compensation paid for by UCGS, if requested by designated deadline. Delivery and pick-up dates are flexible with the start/end of conference season.
  • Unlimited no cost use of residence hall laundry facilities.

Academic Year Employment

UCGS employs academic year student staff from late August through early May.  Positions for the academic year are conditional on current staffing numbers. The next academic year hiring cycle will be in August 26. Interest in academic year employment can be expressed toward [email protected].

Assistant Positions

Assistant level positions offer guest and client support through direct, in person desk and facilities operations. 

Conference Assistant Reports directly to the Guest Engagement Coordinator. . CAs are primarily responsible for managing all front desk operations for Clark Hall, providing superb customer service to all guests visiting during the academic year (August to December ‘25, January to May ‘26), and assisting the UCGS staff with conference administration and preparation.

Compensation: $17.95/hr

Operations Assistant: The Operations Assistant (OA) position reports directly to the Senior Operations Manager. The Operations Assistants are responsible for overall support of University Conference & Guest Services (UCGS) operations before, during, and after weekday business hours. The Operations Assistants oversee/monitor the facilities during events & provide AV support in Constitution and Duber event spaces.

Compensation: $17.95/hr

Student Leadership Positions:

The Student Leadership Team acts in paraprofessional role to assist department professionals in academic year operations. All Leadership Positions are compensated at a rate of $19.50/hr.

Conference Lead: The Conference Lead (CL) acts in a paraprofessional capacity during the fall and spring academic year, assisting (3) University Conference & Guest Services (UCGS) Conference Managers with conference and event planning duties at client facing and operational levels. The CL reports directly to the Director of UCGS. Duties will include planning, onsite execution, and post event analysis, of 10-12 internal AU clients each semester. The CL may also support UCGS staff on selected projects throughout the academic year. Requires some non-traditional hours throughout the year.

Guest Engagement Lead: The Guest Engagement Lead (GEL) acts in a paraprofessional capacity during the Fall academic semester, assisting University Conference & Guest Services (UCGS) with guest services and intern housing planning duties at the guest-facing and operational levels. The GEL reports directly to the Guest Engagement Coordinator. Duties will include assisting in booking and key preparation operations, onsite guest assistance, and guest coordination through the department’s intern housing inbox and main phone line. The GEL may also support UCGS staff on selected projects throughout the academic year. Requires some non-traditional hours throughout the year.

Operations & Scheduling Lead: The Operations & Scheduling Lead (OSL) acts in paraprofessional capacity during the academic year, assisting University Conference & Guest Services (UCGS) with event planning duties at the client-facing and operational levels. The Operations & Scheduling Lead reports directly to the UCGS Senior Operations Manager and is responsible for assisting their supervisor with any on-site coordination of the Constitution and Duber event spaces. The Student Leader is responsible for creating the Operations Assistants’ (OA) and Conference Assistants’ (CA) schedules, in the SubItUp scheduling software. They will assist professional staff with all aspects of scheduling, event operations, and final billing during the academic year.

 

UCGS offers opportunities for employment between summer and academic year start dates for those transitioning between positions.
