What is a Hosted External Event?
Hosted External Event is an activity held in university space on behalf of an external organization, contracted directly with American University, and hosted by an American University Cabinet office, department, or recognized student organization (RSO). This encompasses activities ‘co-hosted’ or in ‘partnership’ with a non-AU organization, including activities organized on behalf of professional societies, associations, and similar entities where AU faculty, staff, and students may have membership.

Types of Hosted External Events
Hosted External Events fall into 3 subcategories. Scheduling offices evaluate each event on a case-by-case basis, and if the classification is unclear, will default to the more conservative (external) category.
- External Program / Association Conference
This event is fully produced and led by an external organization, which retains primary responsibility for program development, planning, and execution. The external organization manages the budget and all revenue, while American University serves as the venue and provides contracted space and services. AU involvement is limited to hosting, participation, or logistical coordination. - Sponsored / Affiliated Event
This event is produced and led by an external organization with limited collaboration from an AU unit. The AU host may contribute to planning, provide speakers, or offer support in a defined secondary role; however, the external organization retains primary responsibility for the program. The external organization typically manages the event budget and collects any associated revenue. AU’s involvement reflects a sponsorship, affiliation, or institutional partnership that provides university visibility or benefit, rather than shared ownership of the event. - Collaborative / Co-Created Program
This event is jointly developed by American University and one or more external partners, with shared responsibility for program design, planning, and execution. The AU host is actively involved in shaping and delivering the program, which supports university priorities and is presented as a joint initiative. Financially, the program generally operates as a shared or mission-driven collaboration, with any event revenue used to support program costs rather than generate private profit. Budget and financial responsibilities may be shared among participating organizations or managed through a designated lead entity.
Contract and Fee Requirements
Contracts
At all times, Hosted External Events must be contracted and provide insurance to comply with University Risk Management requirements.
Fees
All hosted external events are subject to fees for the utilization of University space and resources. The University may reduce or waive fees for hosted external events that have great institutional involvement. As the sponsoring AU Host, your department or recognized student organization is responsible for ensuring payment of all approved event-related charges.
Depending on the size, scope, and needs of your event, charges may include, but are not limited to:
• Facility (space use) fees
• Event support services, such as staffing, custodial, and security
• Audio/visual equipment and technical support
• Catering services
• Specialized event support, such as equipment rentals, outdoor power, and technicians
Thinking About Hosting an External Event at AU?
American University welcomes Hosted External Events throughout the year. However, the availability of space, housing, classrooms, and campus resources varies by season. Planning your event during the appropriate time of year will help ensure a successful experience.

Best Time for Large and Multi-Day Events & Programs
Summer offers the greatest availability of campus resources, including event spaces, instructional spaces, and residential accommodations for multi-day conferences.
💡University Conferences & Guest Services (UCGS) specializes in contracting external events in University facilities, including residential accommodations, during the summer conference period. External organizations may work directly with the UCGS, as their AU Host, to reserve programming and residential facilities during the summer.
Year-Round Opportunities:
Small- to Mid-sized Hosted External Events
Small- and mid-sized Hosted External Events can be accommodated in University facilities year-round, based on availability. Please note that University activity is at its highest during the fall and spring semesters, and AU facilities are prioritized for academic instruction, university events, and other institutional activities.
Before selecting an event date, review the Event Planning Calendar to identify dates that may affect space availability and campus services. Important considerations include:
- Avoid scheduling events in instructional spaces while classes are in session (peak times are weekdays between 8:00 a.m. and 5:30 p.m.). These spaces are primarily reserved for academic instruction and have limited availability during the academic year.
- Avoid high-demand periods, such as Welcome Week and Commencement, as well as periods with significant event restrictions, such as the Final Exam Period.

Who can host an external organization at AU?

Who determines the event classification?
The scheduling office reviews each Hosted External Event request individually to determine the appropriate classification and ensure consistent application of the policy. Events are evaluated based on factors such as program ownership, planning responsibilities, financial responsibility, and institutional involvement. Scheduling offices may request additional information or conduct independent research on the organization, event history, and other relevant factors as needed to support the classification determination.
Why am I being asked to complete a Hosted External Event Assessment?
The assessment helps University Event Scheduling understand your event, determine if any contracts or insurance are required, and if so, identify applicable fees or discounts, and ensure the event is classified consistently and fairly.
Providing complete and accurate information helps us process your request more efficiently.
Does nonprofit status automatically qualify an event for discounted fees?
No. While nonprofit status may be considered, discounts are not based solely on an organization's tax status. The primary factors are AU's level of involvement, program ownership, and institutional benefit.
Can my department simply sponsor an external organization so they receive discounted rates?
No. AU departments may not sponsor or affiliate with an external organization solely to obtain discounted space use fees. Event classifications are based on the actual relationship between AU and the external organization—not on how the event is described.
Who is responsible for paying event costs?
The sponsoring University Host is ultimately responsible for ensuring payment of all approved event-related charges, even if some or all of those costs are later reimbursed by the external organization. Event planners are encouraged to clarify financial responsibilities with their external partners early in the planning process.
Are there fees for Hosted External Events?
Yes. Hosted External Events may incur fees for facility use and campus support services.
Depending on the size, scope, and needs of your event, charges may include, but are not limited to:
• Facility (space use) fees
• Event support services, such as staffing, custodial, and security
• Audio/visual equipment and technical support
• Catering services
• Specialized event support, such as equipment rentals, outdoor power, and technicians
⚠️ Limited Exception: In accordance with University policy, the only formal exception to fees applies to hosted external activities related to research grants awarded to AU, funded by external agencies, and verified by the Office of Sponsored Programs, provided that University space and resources are explicitly designated as a 'contribution in kind.' These explicit designations are typically in the form of dedicated labs, specialized facilities, or assigned workspaces. General-purpose event and instructional spaces, while they may be used for these grant-related meetings or events, are considered incidental and remain subject to standard scheduling and fee structures.
Can I get a discount on my hosted external event?
Possibly. Scheduling offices review each Hosted External Event individually. If space use fees are reduced, it is primarily based on the level of AU's involvement in developing and delivering the event, program ownership, financial responsibility, and institutional benefit.
Operational service costs—such as staffing, security, custodial services, catering, and audio/visual support—are generally charged at full cost and are not discounted.
Is insurance required for Hosted External Events?
Many Hosted External Events require the external organization to provide a Certificate of Insurance (COI) that meets American University's risk management requirements. The scheduling office will advise you if insurance is required for your event.
When should I submit my reservation request?
Hosted External Activities should be submitted no less than three (3) months in advance of the event date. This timeline allows time for required contracting, approvals, and event coordination.
The minimum contracting timeline is one (1) month, but requests submitted that close to the event date may not allow sufficient time for planning or preferred space availability. Event planners are encouraged to submit requests as early as possible to help secure the best location and resources for their event.
Can the external organization submit the reservation request?
External organizations cannot submit reservation requests through the EMS WebApp. However, external organizations may contact scheduling offices directly to inquire about available space or contract space for an event.
For certain event types, scheduling offices may serve as the AU Host, working directly with external organizations while facilitating the contracting process.
